This policy explains how Empowr CIC uses photographs and video taken at sessions and events, how consent is obtained, and how to withdraw consent.

Introduction

Empowr CIC captures photographs and video at our sessions, events, and community activities. These images help us share our work, celebrate our community, attract new participants, and demonstrate our impact in our annual CIC reports.

This policy explains what we do with images and footage, how we obtain consent, and how you can withdraw consent or request that images are removed.

2. How We Use Images and Footage

Photographs and video captured at Empowr CIC sessions and events may be used for:

  • Our website (empowrcic.org)
  • Our social media accounts (Instagram, LinkedIn, and other platforms)
  • Our annual CIC reports and regulatory filings
  • Marketing materials (flyers, posters, digital ads)
  • Grant applications and funding proposals
  • Press and media coverage of our work
  • Promotional videos and campaign content

We do not sell images or footage to third parties.

3. How We Obtain Consent

Adults (18 and over)

By participating in an Empowr CIC session or event, adults provide implicit consent to being photographed or filmed as part of the general atmosphere and activity.

Where an individual is the specific subject of a planned photograph or video production (for example, a testimonial, promotional shoot, or interview), we will ask for explicit written or verbal consent before proceeding.

Under-18 Participants

We never photograph or film participants under the age of 18 without explicit prior consent from a parent or legal guardian.

Consent for under-18 participants is collected at the time of booking. This consent covers general programme photography (sessions, group shots, action shots) unless otherwise specified.

Where we wish to use an image of a specific under-18 participant in a more prominent way (for example, as a featured image on our website or in a campaign), we will request specific separate consent.

Withdrawing Consent

Consent can be withdrawn at any time. To withdraw consent or to opt out of being photographed or filmed at a specific event:

We will remove or stop using the relevant image or footage as soon as reasonably practicable. Please note that we cannot recall images already shared by third parties (for example, images shared or reshared on social media by others).

4. How We Store and Protect Images

Photographs and video are stored securely and are accessible only to authorised Empowr CIC staff.

We do not attach personal names, locations, or identifying information to images shared publicly unless you have explicitly consented to this.

Images of under-18 participants are handled with particular care:

  • We do not publicly name participants under 18 in any caption or description
  • We do not share close-up facial images of under-18 participants without parental consent
  • We do not publish images that could be used to identify a child's school, home location, or routine

5. Safeguarding

Empowr CIC is committed to the welfare and safety of all participants, particularly children and young people. Our photography and media practice aligns with our safeguarding obligations.

If you have a safeguarding concern about how images of children are being used, please contact us immediately at enquiries@empowrcic.org.

6. Third-Party Photographers and Media

Occasionally, external photographers, journalists, or media organisations may attend our events. Where this is planned:

  • We will notify participants (and parents/guardians of under-18 participants) in advance
  • Any professional photographer working with us is required to follow this policy
  • Participants who do not wish to be photographed by external media should notify us before the event

We are not responsible for images taken by other participants or members of the public using their own devices at our events. We encourage participants to be mindful of others' privacy when sharing images on personal social media.

7. Your Rights

Under UK GDPR, you have the right to:

  • Request access to images we hold of you
  • Request that images of you are removed from our materials
  • Object to the use of your image for specific purposes

8. Changes to This Policy
